What we collect, why, how long we keep it, and how to tell us to stop.
This is a working template, not legal advice. A Ghanaian lawyer should review it before you rely on it, and you may need to register with the Data Protection Commission. Every bracketed item needs replacing.
Who we are
The Obaatanpa Foundation is based in Wassa Akropong, Wassa Amenfi East Municipality, Western Region, Ghana, registration [registration number]. For the purposes of the Data Protection Act, 2012 (Act 843), we are the data controller for the information described here. Contact us at obaatanpafoundation2025@gmail.com.
What we collect
If you support us: your name, phone number, email address, the amounts and dates of your gifts, and any correspondence between us.
If you attend or benefit from an outreach: your name and community, and where a programme requires it, the details needed to run it. We keep this to the minimum necessary.
If you volunteer: your name, contact details, and any checks required by our safeguarding policy.
If you visit this website: your browser sends an IP address and basic technical information to our hosting provider as part of ordinary web traffic. We run no advertising trackers.
Why we use it
- To run outreaches and follow up with the people who took part.
- To receive gifts, thank donors, and keep proper financial records.
- To send updates to people who have asked for them.
- To keep children, students and vulnerable adults safe, which occasionally means sharing information without consent where there is a risk of harm.
Who we share it with
We do not sell, rent or exchange personal information with anyone, and we never share supporter lists. We share only with our bank and mobile money providers, partner institutions such as schools and the hospital limited to what an outreach requires, and government authorities where the law requires it.
Our website is hosted by Netlify, and the files behind it are stored with GitHub. Both operate outside Ghana. We will list any further service providers here as we take them on.
How long we keep it
- Donation records: six years after the last gift, for accounting purposes.
- Outreach records: for as long as the programme runs, and five years afterwards.
- Safeguarding records: as long as the safeguarding policy requires.
Your rights
Under the Data Protection Act you may ask us to show you the information we hold about you, correct it, delete it where we have no continuing reason to keep it, or stop contacting you. Write to obaatanpafoundation2025@gmail.com. We will respond within 30 days.
Photographs and video
We photograph and film our outreaches and publish the results here and on social media. We ask permission first, in the person's own language, and explain where the images will appear. For anyone under 18 we obtain consent from the school or from a parent or guardian, and separately the agreement of the young person. We do not publish a child's full name alongside their photograph.
If you appear in a photograph or video on this site and want it removed, write to us and we will take it down.
Cookies
This website sets no cookies of its own and runs no analytics or advertising trackers. Fonts load from Google Fonts, which receives your IP address as part of that request.
If we later embed Facebook or YouTube videos on this site, those services will set cookies of their own, and we will update this section before doing so.
Complaints
Tell us first at obaatanpafoundation2025@gmail.com and we will investigate. You may also complain to the Data Protection Commission of Ghana.
